The short version
A recovered call is a missed call that was returned and reached a defined outcome: a booking, a dispatch, a closed sale, or a clear no. A returned call that never connects is not recovery. It is a pending attempt.
Missed first, recovered second
A call has to be missed before it can be recovered. That means a real inbound call from a legitimate caller that did not reach a person and was not resolved in the moment. The recovery is the follow-up that closes the loop.
Outcomes, not attempts
Counting callbacks as recoveries inflates the number. Three voicemails left without a reply are three attempts at the same unresolved call. The call is recovered only when the intended outcome happens. Decide what counts as the outcome for your business and apply it consistently.
Why the definition matters
If one person counts a returned voicemail as recovered and another counts only booked jobs, your recovery rate is not measuring one process, it is measuring two. A shared definition keeps the rate comparable month to month and across the team.
Use it with the calculator
Once you have the definition, count your legitimate missed calls and your recovered calls for the period, then run the Call Recovery Rate Calculator.
