A missed call is only a leak if nothing happens next. A callback process is the system that makes sure something does: someone owns it, it happens in a defined window, and the outcome is recorded. Here is how to build one in six steps.
Assign ownership
Every missed call gets a named owner or queue. No owner means no recovery. Decide who handles which call type before the phone ever rings out.
Set a response window
Define how quickly a missed call must be returned in business hours. Most callers move on fast, so the window should match how long a prospect will actually wait.
Log the call and reason
Capture the name, number, and reason for every missed call. Without a record, the call is invisible and cannot be recovered.
Return and attempt
Make the callback inside the window. Track attempts so you can tell a recovered call from a still-pending one.
Record the outcome
Booked, declined, unreachable, or out of scope. The outcome closes the loop and turns the attempt into a real data point.
Review unresolved calls
Whatever is still open at the end of the period is your leak. Review it regularly so the list does not quietly age out.
Templates to pair with this
The Callback Workflow Template and After-Hours Flow Template are ready-made versions of this process. Use them to put the steps above into action.
